Thank you for choosing Gaia’s Pantry. Because we sell perishable kosher meat products, we must protect food safety, freshness, and kosher standards — while also helping quickly when there is a legitimate issue with an order.

This policy exists to protect food safety, freshness, and kosher standards.

Policy for perishable products

Because we sell perishable kosher meat products, all sales are final once an order has been delivered.

Orders may be cancelled only before they have been prepared for dispatch. Once your order has been packed and collected by our courier partner, it has entered the shipping process and can no longer be cancelled, modified, or refunded, even if it is still within the estimated delivery timeframe.

We do not accept returns after delivery in order to protect product safety, freshness, and full compliance with kosher standards.

However, if there is a legitimate issue with your order — such as a damaged, spoiled, leaking, or incorrect product — we will assist according to the policy below.

Damaged, Spoiled or Incorrect Orders

If something arrives wrong, contact us immediately with your order details and the required photos.

How to submit a claim

If your order arrives damaged, spoiled, leaking, or incorrect, contact us immediately at office@gaiaspantry.com.

Photo of the outer box Send a clear photo showing the packaging condition or damage.

Photo of the product itself Take a photo of the damaged, incorrect, or affected item.

Short explanation Explain what happened, where the package was left, and what is wrong with the product.

Once we review your claim, we may replace the affected product or issue a refund, at our discretion and depending on the case.

Packages Marked Delivered but Missing

Sometimes carriers mark a package as delivered before it actually arrives.

What should I do if tracking says “delivered” but the package is missing?

If your tracking says “delivered” but the package is not there:

  • Please wait one additional business day — sometimes carriers scan packages early.
  • Check with household members, neighbours, or nearby delivery points.
  • If the package still does not arrive, email us at office@gaiaspantry.com.

We will open an investigation with the courier. Replacements or refunds are handled case by case, depending on the outcome.

Non-Returnable Items

Due to the nature of food and meat products, the following items cannot be returned.

  • Fresh or frozen meat
  • Biltong, droëwors, boerewors, or any food items
  • Opened, delivered, or temperature-sensitive goods
  • Custom orders
  • Sale items or gift cards

This policy exists to protect product integrity, food safety, and kosher requirements.

Exchanges, Refund Eligibility & Processing

How we handle exchanges, refunds, and processing timelines.

Exchanges

We cannot offer standard exchanges for food products. If the wrong product was delivered or an item arrived damaged, we will handle it through the order issue process.

Refund Processing Time

If approved, the refund is issued to your original payment method. Processing typically takes 3–10 business days, depending on your bank.

When are refunds issued?

Refunds are issued only when:

  • A product arrives damaged, spoiled, or incorrect
  • The required photos and information are provided
  • The claim is reviewed and approved by us

If 15 business days have passed after your refund was approved and you still have not received it, contact us at office@gaiaspantry.com.

EU Orders If Applicable

Clarification regarding the 14-day cooling-off period for perishable products.

The EU 14-day cooling-off period does not apply to perishable food products, as permitted under applicable EU consumer law.
